Project Coordinator - US Allergy Cough Cold Pain Cardio

Your tasks and responsibilities

 

The primary responsibilities of this role, Project Coordinator - US Allergy Cough Cold Pain Cardio, are to:

 

  • Handle day-to-day operational tasks for the unit to ensure effective operation of the unit;
  • Coordinate and support budget activities for the unit in collaboration with the Unit Head, Project Managers, Development Center Head and Controlling;
  • Establish and maintain departmental databases and develops spreadsheets for the unit;
  • Prepare materials in final form from very rough and involved drafts which may utilize frequents use of technical terminology and which combines materials from several sources;
  • Coordinate activities across departments and follows up to ensure requests are carried out and meet established timelines;
  • Set up files, maintain documents, and manage shared files and databases for the department such as SharePoint;
  • Coordinate, organize, and execute unit activities/initiatives/communication planning including townhalls, blogs, offsite events;
  • Process vendor information in SAP, obtain purchase orders and tracks and handles payment of invoices;
  • Request and track legal agreements in GCM System;
  • Perform key administrative asks for Unit Head and others as needed;
  • Conduct proactive calendar management, manages business travel arrangements and processes expense reports;
  • Lead and assist in meeting planning and preparation work needed such as drafting agenda and broader communications;
  • Coordinate details of departmental meetings and/or on/offsite conferences and events;
  • Assemble and analyze information, prepares reports, manuals, presentations agendas, correspondence and memoranda as guided by company practices;
  • Coordinate activities across departments and follows up to ensure that requestsare carried out;
  • Drive specific projects as assigned;
  • Screen / redirect calls, take messages, handle mail coordinates activities across departments and follows up to ensure that requests are carried out;
  • Manage finance and legal system requirements;
  • Perform additional responsibilities as required.

Required Qualifications:

 

  • Bachelor's degree with a minimum of two years' relevant experience, Associate's degree with a minimum of eight years' relevant experience, High school diploma with a minimum of ten years of relevant experience;
  • Strong organizational, decision-making and process management skills;
  • Proficiency in Microsoft Word, PowerPoint and SharePoint;
  • Demonstrated ability to work collaboratively and with the ability to quickly adapt to changing needs;
  • Ability to function effectively and successfully in a complex multifunctional environment;
  • Effective written and verbal communication skills.

 

Preferred Qualifications:

 

  • Strong knowledge of Bayer systems and policies around invoicing and purchase requests;
  • Thorough knowledge of company compliance policies;
  • Project management skills and experience.
